How to Assign a Collection Identifier

Each library maintains a set of collection identifier codes that serve to uniquely identify each collection. This local identifier is required for creating a DACS-compliant catalog record because it helps distinguish similar collections from one another. It is assigned at the same time the Accession Form is completed. The Collection Identifier number is different from the Accession Number. The Collection Identifier consists of 3 parts:

  1. Library abbreviation: WHC, CLT, BAS, HOS, NIC, SRC
  2. The letter "M" which is the legacy designation for "manuscripts"
  3. A sequential number for each separately named collection of archival material

Examples:

  • WHC-M-2693
  • CLT-M-1
  • BAS-M-2
  • HOS-M-35
  • NIC-M-10

Each library maintains their registry of collection numbers using the method that works best for them. For example, WHC has a manually-kept set of cross-referenced index cards and an Excel spreadsheet for this purpose. Keep the registry in a secure place and limit the persons allowed to assign numbers to prevent accidental duplication.
