Instructions

To create a new collection-level resource record in ArchivesSpace follow the instructions below. A general introduction to resource record creation is available in the following  ArchivesSpace training videos, and additional help is at the ArchivesSpace Help Center (Atlassian / Confluence login required). To learn how to spawn a resource record from within an accession record, see the last box on this page.

Log in to the staff view of ArchivesSpace. 

Click the Create button in the main task bar.

Select Resource from the drop-down menu. 

A new resource record template will open.

Complete the fields listed below (asterisks indicate the field is required). See the Description section of this LibGuide for additional guidance on how to fill out these fields.

    • Title*
    • Identifier*
    • Level of Description*
    • Resource Type
    • Publish?
  • Languages
    • Language*
    • Script
  • Dates
    • Label*
    • Expression
    • Type*
  • Extents
    • Portion*
    • Number*
    • Type*
  • Finding Aid Data
    • EAD ID
    • Finding Aid Date
    • Finding Aid Author
    • Language of Description*
    • Script of Description*
    • Finding Aid Status Published?
  • Revision Statements (if applicable)

    • Role*
    • Agents*

Click the Save button at the end of the template to create it.

Spawn a Resource Record from an Accession Record

A new resource record can be created from an accession record. Follow the instructions below, view this ArchivesSpace training video, or visit the ArchivesSpace Help Center for more guidance.

Instructions

Open the accession record for the collection, and click the Spawn button from the task bar and select Resource.

The following fields will be auto-populated (in full or in part) with information from the accession record. Be sure to complete those that are partially auto-populated, and view our Description instructions to complete all necessary fields.

  • Title
  • Identifier (partially auto-populated)
  • Resource Type
  • Publish?
  • Language
  • Language Script
  • Dates
  • Extents
  • EAD ID (partially auto-populated)
  • Description Rules
  • Language of Description
  • Script of Description
  • Finding Aid Status Published?
  • Related Accessions (the accession from which this resource was spawned is linked here)
  • Agent links
  • Subjects
  • Scope and Contents Note
  • Conditions Governing Access Note
  • Preferred Citation (partially auto-populated)

Click the Save button to finish spawning the resource record.
