The new macs are finally here! They are all Macbook Airs.  *NOTE* The new macs are incredibly slow to login, like over a minute slow. So please be patient! If it's still having login problems, restart the laptop and then have the patron try logging in again. Please let Savannah or I look any of the new laptops that are having login issues.
Some of the old laptops L352M (Air), L357M-L359M (Pros), and L362M (Pro) have been moved to the retirement home.

Hi Everyone! We've had a lot of incidents lately where the cameras, camcorders, and microphones are returned without all of their pieces on the list or with extra pieces that belong to another item. Please remember to always check the items for everything on the list and to add a note and let me know if something is missing. Also I prefer to check the cameras and camcorders when they're returned. If I'm not here, then Savannah or Jen can check the item. If they're not here then the student supervisor should check the item BEFORE returning it.

We have two new PC chargers that will not work with the connectors in the box. Some of the new chargers connectors are smaller than the ones we currently have. These PC chargers will checkout with all 12 connectors. The specification list will be in the smaller bag with the connectors. Please only check these chargers out if the laptop needs a smaller connector or we're out of the others. This will help me determine if their demand.

We have gotten the go ahead to start handing out markers again.  Like before, they will be in the basket under the Circ desk up front.  Hand them out when patrons ask for them, and let Kelly know when they start getting low so that she can re-order.

The new Safety & Fire Report for OU is now up on libguides. This report is compiled from 2018-2020 data so even though it is actually the previous years' report, it is the 2021-22 publication. Make sense? We will occasionally be asked for a printed hard copy by patrons (not very often) so it is important for you to know where to find it so you can print it out for them...

Go to libguides --> Documents --> Circulation Documents & Forms, then click on the Safety & Fire Report tab to find the PDF as well as printing instructions.

We now have 2 gaming laptops for checkout! They are Dell Precision 5550s. They will be used for a game building class held in the Edge, but anyone can check them out. We now have Insta360 One R action cameras (like a customizable GoPro) and micro memory card bundles for checkout! The micro memory cards can ONLY be checked out with the Insta360 camera. They live in the cabinet near the other 360 cameras. They both checkout for 3 days and are bookable. I'll add a Insta360 camera tab in the tech page so that you can see all the little parts it has. Please let me know if you have any questions.

We will no longer be accepting payments for Courtesy borrowers/non-OU patrons fines and fees at the desk. Once a patron fills out the Borrower's permit request form or you discover that they have fines, please send them with the completed form or a printout of the fines to the Dean's office for payment. SUPERVISORS: Occasionally a History of Science book will be returned to the circulation desk. History of Science books have no markings on the cover or spine, and you'll have to identify them by a book plate or a stamp on opposite page of the copyright information. 

 

You'll need to place these on the newly created History of Science shelf sharing the shelf with the Damaged Books shelf above the Non OU Books shelf.

Per OU's announcement last Wednesday that the masking policy has been lifted -- Masks in the library are optional for vaccinated people. However, those who have not been vaccinated are still required to wear a mask. If you have any questions about this please don't hesitate to ask me.

Hi everyone! We will now start checking out ALL technology now that the Covid restrictions have been lifted. This includes headphones, cameras/camcorders, telescopes, microphones, and whatever else I'm currently forgetting. I will update the technology lending page today and label the drawers tomorrow. Please also read the technology lending tab under the policies, procedures, duties tab on the libguide.

Please remember only supervisors are allowed to check in or out the telescopes! If you are a supervisor and have not received telescope training from me, please let me know. Remember the telescopes are my bébés.

Also when a camera or camcorder is returned please have a staff supervisor or a student supervisor check them before they are returned! If I am at the library I personally prefer to check them. If I am not there then Jen or Doni can check them. If none of us are then then a student supervisor can. Again if you would like training on what to look for, please let me know.

Most of these items are also bookable. Please ask a student supervisor if you need training on booking an item.

We are still not loaning out dry erase markers!

Supervisors: Recently there have been a few Learning Lab books placed on floor carts instead of the Learning Lab shelf in the sort room.  Currently there is NO pop-up or fulfillment note that comes up when you scan it in to let you know that it needs to go elsewhere.  Please make sure you are looking at the spine of each book when discharging to see if the label says "Learning Lab" or some other in-house destination before placing it on the wooden sort cart.  Please let me know if you need me to show you an example or have any questions about this.

Supervisors: Stacks Management will be ending the quarantining of books effective today. Please resume sorting as we did pre-pandemic, which is by call numbers instead of by day. The carts are now labelled by call letter with magnetic stickers so just look for those and sort accordingly. When discharging, sort your books by call letter onto the wooden cart to your left, then any SLAs up front (and you if there's a lot) can take them to the stacks carts.  Most SLAs are not used to this system (as they've never done it) so please show them how to do it and let them know about the expectations for carting during your shift. As I said, this new/old system has been reinstated today.

EXTRA! EXTRA! NEWSFLASH....

There's been an update to how we input information into Alma when creating a new account for CESL / HSC / New OU Students, Staff, or Faculty. Instead of putting the person's OU ID in the Primary Identifier slot, you should instead enter their 4x4 information here. When the rest of the form is filled out, click on the Identifiers tab at the top. For the Barcode, type in the ID number from their OU ID and type a capital T before it (like you would for a Borrowers Permit).  This change is effective immediately, and the instructions have been updated in the documents portion of libguides under Procedures.  If you have any questions about this please let Kelly or I know.

Supervisors: if a patron's user group is "retired faculty/Staff" please re-active their profile. You can change this by clicking "Open for Update" at the top of the page and then changing their status to active. The status bar is in the middle of the page.  If they are newly retired please have them show you their retired OU ID, ask for a new email address, and update their profile. A new policy is currently being written. Please let me know if you have any questions.

Please use the following steps to make sure that hold items are getting properly checked out. 

If it has a sticker on the cover, it is an ILL book. It says ILL on the side and has a due date on the sticker. Please use the ILL system to checkout these book.

So if you see these stickers please use the ILL system to check it out, which looks like this.

 

If the book has a flag in it, it is an OU book that was requested through Sooner Xpress. It has Sooner Xpress written at the top and no due date. Please use Alma to checkout these books. 

Please ask a supervisor if you are unsure about which system to use.

We now have even more rocks! These kits, like the others checkout for 2 hours at a time. Next to the discharge machine is the Fun and Profit kit (Petroleum Samples). I am told that this will be a very popular kit and very fragile, so please be careful! Please make sure all 16 samples are returned.

The next kits are kept with the others underneath the calculators.

Please make sure that the Metamorphic kit matches the picture on the inside lid when returned.

We now have a Metamorphic Rock Cycle kit (Rock Review) as well. Please make sure that all 6 tupperware containers are returned.

Starting today, we will start sorting books onto the Stacks carts by day of the week instead of by floor. Meaning, as books are returned and discharged, you will place them on cart labelled the day of the week that it is. As seen below --

Stacks will be responsible for retrieving them from the area behind the desk and placing them in quarantine. If you are a supervisor, please show SLA's how the procedure is done so we are all on the same page.  Remember, holds can be placed directly on the holds shelf now. Do not take them to quarantine.

We will be checking out some of the rock/mineral kits that are normally kept at the Geology library while it's closed for repairs. There are 5 different kits, and they all checkout for 2 hours at a time. When they're returned please make sure that all samples are returned. Three kits, Sedimentary, Minerals, and Igneous, all have pictures under the lid that you can use to verify. NOTE: The samples do not need to be in the same compartment pictured. They are stored underneath the calculators

Bizzell Library will be closing at 10pm this evening and will remain closed tomorrow, due to inclement weather. Watch for additional alert notices from OU regarding the next several days and plans for the OU campus.

Bizzell Library is identified as a campus location where someone can go to get a printed copy of the 2020 Sooner Safety Report. If someone comes up and requests a report, simply print the PDF from the provided link above. Anyone may request a copy, they do not need to be a student, faculty or staff or be affiliated with the university. A printed copy needs to be provided at the moment of the request (understanding it may take a few minutes to print it). People requesting a copy cannot be turned away or asked to come back later. We must provide a copy, no questions asked.

To access and print the document go to the Documents menu on the side here in libguides under Circulation.  Then navigate to the Safety & Fire Report tab and follow the instructions found there.

So if the book has a print out please take it to this area and put it on the appropriate shelf. If it has a person's name or ILL Dummy, please put it on the hold shelf. Supervisors: Please make sure that you are putting any hold books on the hold shelf in quarantine. If it prints a letter with a name or ILL Dummy, it goes to the hold shelf. The hold shelf is the shelf to the far left next to the stairs. If the letter says, "transit" it goes with the other books. Please let me know if you have any questions.

We are no longer handling ID's or sliding them through the keyboard card reader.  When asking patrons for their ID, please tell them to put it in the small plastic labelled tray at each computer station, so that the information faces you.  Use the new No-Touch Tool to pull the tray towards you to see the ID information. Do not pick it up, just input their OU ID number into Alma.  When you find them in the system, slide the tray back to them so that they can retrieve their card (or phone if using ONE for identification). 

Also, be sure when accepting textbook and technology returns to scan them in, put item into the Germinator, then immediately sanitize your gloved hands with provided hand sanitizer.  If you notice the sanitizer (or any PPE supplies getting low in your area, please let me or Kelly know.

The Germinator is the new UV light box up front that we are using to disinfect all textbooks (reserves) and technology. We are now using this in place of disinfecting wipes for these items.  Instructions are on the box along with times.  Even though the instructions say to UV light the individual reserve book pages, we are NOT doing that at this time. Just do the front and back covers (therefore, we don't need to insert the red/green bookmarks at this time).

  • Chargers in the clear plastic bags CAN be left INSIDE the bags. Same as the other cables, run them through a cycle on top then flip it over and run it through another on the bottom.
  • With laptops, do the top, then bottom, then open it up and do the middle - then it can be put away.
  • Cords/cables/plug boxes will need to be run through one on top, then on the bottom.

***When we get too busy to run items through the Germinator, place them on the TOP shelf of the wooden cart (where the reserves usually get placed) until they can be disinfected.  Once disinfected put the item away, but if time does not allow right away, place on the second or third shelf.  So, contaminated items go on the top shelf, cleaned items go on the bottom ones.  If you have a better system in mind for keeping them separate, please let me know!***

Please help us keep track of mask violations in the library.  Use the COVID-19 Violation Counts form if you see someone in the building (whether they are coming, going, roaming, or sitting) who is NOT wearing a mask, or wearing it improperly.  Please not only say something to them, but also report this information on the form.  There will be a tab on your work stations that you can easily access, just like the other permanent Circulation tabs.  Here is the direct link as well:

The Learning Lab is no longer on LL1.  It has combined with the Computer Lab so please send people across the way for any research related questions, not downstairs.

COVID-19 Transition to Online - Library Plan

March 12, 2020

 

Due to the risk of COVID-19 and under the direction of the university administration, University Libraries will modify library operations beginning Friday, March 20 at 5:00 pm thru April 4 at 9:00 am as follows:

 

Facility Operations

 

  • Bizzell Memorial Library and the Bookmark Cafe will be closed to the general public.
  • Bizzell will provide access to OU faculty/staff and graduate students:
    • Monday - Friday 7:30 am to 6:00 pm
    • Saturday - Closed
    • Sunday - Closed
  • Faculty/staff and graduate students will be required to show an OU ID to library security in order to enter the building via the west entrance only.
  • Bizzell south entrance will be closed (but available for exiting the building)
  • Public services will be limited to circulation, ILL, and self-checkout. Research assistance will be available online.
  • All events, classes and large group meetings scheduled through April 3 will be canceled.
  • OU Libraries’ maker spaces (the Edge in Bizzell and the Couch 3D Printing Lab in the Couch Residence Hall), as well as Data Analytics, Visualization & Informatics Syndicate (DAVIS) in Bizzell will be closed.
  • Branch libraries (Fine Arts, Architecture, Geology) and Special Collections (Bizzell 5th Floor Special Collections, Western History Collections in Monnet Hall, and the Chinese Literature Translation Archive in Bizzell) will be closed to public and campus users.
    • Bizzell Special Collections and Western History Collections may be available, by appointment only, to graduate students and faculty with a pressing need. We will continue to provide consultation, research assistance, and reference online, as we do for current distance users.
  • OU Libraries faculty, staff and graduate assistants will report to work with some working remotely as approved by their division head.
  • Student employees will be working limited hours in all locations as needed.  Students should be notified by their supervisors regarding schedule adjustments.
  • Library facilities will maintain spring break operating hours until this plan is activated on March 20.

 

Library Fines and Renewals

 

  • Items that have been checked out from circulation by March 23 will be automatically renewed so that no fines will be accrued during this time.

 

 

Library Resources

 

  • Undergraduates relying on reserve textbooks may request that select textbook chapters be provided via ILL. Faculty may request select textbook chapters be provided in Canvas.
  • OU Libraries is working to modify our homepage to highlight digital resources and services, specifically including:
    • Research assistance (email/phone/chat),
    • The OU Libraries artificial intelligence chatbot which is available to answer questions 24/7,
    • Research guides,
    • Online databases, and
    • ILL requests for delivery of books/articles.
    • Openly available COVID-19 resources for researchers.

These changes will be available by the close of the library on March 20. They will also be highlighted on the OU Teach Anywhere website ( http://ou.edu/teachanywhere ).

Please make sure that you are filling out improper discharge forms and putting them on my desk for any improper discharge! The slip is kept in the blue bin on top of the laptops.

Also please make sure that you are putting the technology in the proper spot. I've found several Samsung cables mixed in with the lightning cables and have found a HDMI cord with the bike locks. It's also been reported that the laptops are being put in any empty spot and not their correct slots. Please make sure my babies make it back to their homes.

WE GOT A NEW CABINET!! This means everything has moved! The forms have moved above the podcast kit and the light kit. The podcast kit and light kit both have their very own locks, which use the same key. The old supply cabinet has moved behind security and now will only be used for office supplies. Everything for check out has moved to the two cabinets. I have moved the snowball mic, bones, headphones, projector, cameras, camcorders, and all of the camera and camcorder accessories to the new cabinet. The keyboards, VR headsets, cassette players, bike locks, and power strips are in the other cabinet. Everything is labeled. The new cabinet's key has a compass key ring. Please let me know if you have any questions or comments.

UPDATE: Apparently you CAN split shifts in When I Work.  You can even do partial shifts that are not at the beginning or end.  Please let me know if you don't know how, and I'll be happy to show you.

We have new technology available for checkout! We have a new Canon Rebel T7i stored next to the old Canon Rebel. We've gotten a lot of attachments to the cameras including close-up lens set and a new filter set stored in the camcorder drawer. We also have a TV with a built in DVD/VCR, which does not checkout and is for library use only. There is a headphone jack built in and you can just wheel it out for the patron if anyone ever wants to view a VHS.

OU Tulsa and OUHSC students can return books [from those libraries] here.  The books can be placed in the ILL box and they will return them.  However, the patron is still responsible for them until they are discharged from the home institution.

Tech and AV Reserves items are now eligible for overnight checkout just like Reserves books, effective immediately.

  • Only allow overnight checkout of Reserves items if it's the last 2 hrs before close. Make the item due 2 hrs after Bizzell's next scheduled opening time. (Reasonable exceptions are allowed)
  • You can now mention overnight checkout to patrons even if they don't request it, BUT:
    • Be absolutely sure to warn the patron about the risk of incurring Lost Processing and Replacement fees if they don't return the item within 24 hrs after it's due.
    • Also warn the patron that they cannot call to renew overnight items for an additional 4 hrs (Alma prevents it).

I have updated the Policies Not Openly Advertised PDF in the Training box to reflect this change.

I have noticed an exorbitant amount of non-work related materials downloaded onto the desktop of the circulation computers.  This is not allowed since it tends to clog down the normal functions necessary to perform our job while some downloads may be deemed inappropriate for the work place.  It is fine for you to download something temporarily during your scheduled work shift to work on, but it needs to be deleted at the end of your shift. 

If you have something downloaded on the desktop, please save it to a personal thumb drive.  I will be deleting everything in two weeks time.

  • OK-Share accounts for non-OU patrons need to have a Note on them indicating patron's home institution
  • Lifetime Alumni accounts need to have a Note on them saying "Lifetime Alumni"

In addition to putting these notes on new accounts, please also check for / add them to existing accounts.

I have added a shift coverage instructions tab to the Circulation Duties box called Shift Coverage - When I Work. Please read it. (The phone app instructions are based on the iPhone version, so if you notice differences with the Android version, let me know.)

Also, an important reminder: 

Even if you work close to max hours or don't personally need coverage, you are still required to regularly offer to swap shifts to fill in for students who are absent. As employees of an Essential Department, one of your biggest responsibilities is helping to make sure we always have enough staffing to keep Bizzell's doors open. Swapping shifts is the fairest way do so, since it doesn't force anyone to work more overall than they usually do.

It is especially important for late night students to offer to swap one of their own 2:15am shifts for unfilled 2:15am shifts. Otherwise, if no one covers, Bizzell is guaranteed to be understaffed and the midnight Student Supervisor must stay 2 hrs late to fill in, regardless how early their commitments are the next day.

We have new mac multi-chargers for laptops! These will check out similarly to the phone chargers rather. So a patron will check out the power adapter and then a cable for whatever laptop they need. Both the cable and the adapter have barcodes. They are kept in the mac laptop charger drawer on the far right. It will count as 1 checkout toward there 3 item limit though. If this occurs the student supervisor will have to override the checkout policy. Please let me know if you have any problems,questions, or comments about these chargers.

Because there's been some confusion about what needs to be dusted during closing shifts, I've added a Dusting Locations PDF to the Closing Procedures tab of the Circulation Duties box.

When you work a closing shift, choose one bullet from the list of Dusting Locations and dust all items included in that bullet. Make your selection based on what LOOKS most dusty at the time of your shift. (Locations like the Discharge area and Publicly-visible area will need to be dusted more often than others.)

Change to cart check procedure, because Stacks has been noticing a lot of books on the wrong carts lately:

We're now going to only check red carts once a day, but it is now a mandatory opening shift procedure.

  • All opening shift students must participate
    • South Gate student should also help as much as possible until they go to SG 5 min. before official opening time
  • Carts should be checked immediately after overnight books are discharged and before Stacks Mgmt. begins taking carts.
  • Say mistakes you find out loud to the other students to clear up any potential misunderstandings about what goes where.
    • Especially point out mis-carted Dewey Biographies, Atlases, Storage books, etc.

We are ready to stop using physical replacement slips for shift coverage. Thank you for your patience during the transition!

From now on, though, it's very important that you continue to post any new shift coverage requests on BOTH When I Work and GroupMe. When I Work does not send coverage request notifications to students who are scheduled to work at the same time as the shift but we need to make sure they are also informed, because they are most affected by it (especially Student Supervisors).

Starting with Quiz 13, everyone will now be able to attempt each quiz multiple times and keep the highest score. This is encourage everyone to take time on your quizzes and seek out the correct answers instead of feeling rushed to finish a quiz before the end of your shift. (Just be aware that scores earned after the 2-week deadline are still counted as being late).

The Podcast Kit is finally ready to checkout! Only supervisors and staff will be able to checkout the kit. It is housed between the Telescope cabinet and the Laptop cabinet locked to the Telescope cabinet with a bike lock. The case is also locked and the keys are kept in the discharge desk along with the rest of the keys. You will unlock and lock back the case and the bike lock when checked out and returned. It has a 3 day checkout and is bookable. I've created a Podcast Kit tab on the Technology lending page. Workforce policy change, per Library HR:

Students should no longer use the Amend function to correct timesheets after payroll has already been processed. Instead, make the appropriate adjustment on a later timesheet, with a Comment explaining where it came from.

Please be aware that When I Work does NOT send me a notification when you post open shifts, only when someone accepts them. So, to keep me up-to-date about shifts that need covered, when you ask for coverage for a shift on When I Work, please also post it to GroupMe. For those of you covering shifts for others, please remember to also indicate on GroupMe that you accepted the shift.

Also, I believe it is possible to split a shift on When I Work yourself and only ask for coverage for part of it without asking me to split the shift for you. Next time someone needs only part of a shift covered, can you come to me so we can test this function out? Thanks!

Quick reminder everyone: When filling out your timesheet, you need to record the ACTUAL times you clock in / out, not just copy your regular start and end times from the schedule. When I Work keeps track of your actual timeclock times, so we need to make sure that the times on your timesheets match. If you forgot to clock in, then on your timesheet you should record the actual time you started working with a comment explaining why it doesn't match When I Work.

If you need to reference past actual clock in / out times, you can find them in the When I Work section called "Timesheets."

To make it easier to keep track of clock in / out times for filling out timesheets, we will now start using When I Work to swap and cover shifts. This will allow you to clock in / out for shifts you cover for others. If you are not sure how to post, swap, or cover shifts on WIW, please ask me or a student with experience to show you.

For the first month or two, we will continue to use physical replacement slips and GroupMe as a backup just in case we find out that When I Work is inadequate for our needs, but if it works well, we will eventually discontinue one or both of them.

Good news! There is now an web clip/icon to the new online bookstore's website on the circulation iPads kept on the desk. You can have a student, who doesn't know what book they need, log in to the website and see their required books. Hopefully this will be easier than looking for the red book.

Minor timesheet policy change:

When you work NO hours during a pay period, you still DO NOT need to click "Submit" or do anything else to your timesheet, but I will now start approving those blank timesheets anyway, to give Payroll confirmation that you didn't work.

This change will hopefully prevent you from receiving automatic e-mail reminders from Payroll to submit timesheets after pay periods that you weren't scheduled to work. If you do still receive them in the future, though, please let us know. Thank you!

Update to timesheet amendment procedure:

Please be aware that after your supervisor approves your timesheet, you will not see any options to correct that timesheet until after the payroll has been finalized. In the future, if you have a major change to your estimated shift times after I've already approved your timesheet (like we did last Friday), please give yourself a reminder to go back in and make the amendment at least a week after the timesheet was first due.

Angela in Stacks has asked if I can remind you of the following:

  • When a red cart is full:
    1. Put additional books for that floor onto an empty cart (NOT on top of the full cart).
    2. Check both ends of the empty cart to make sure it is labeled for the correct floor. If not, change the labeling using the floor labels on the whiteboard.
  • When you're carting a book with a B call number, remember that it might be a Dewey Biography.
    • Always look for lowercase letters in the 2nd and 3rd lines of the call number before carting a B book:
      • Has lowercase letters = Dewey = Decks cart
      • No lowercase letters = LC = LL1 A-D cart

Also, I won't post a quiz during Prep or Finals Week. After Quiz 9 is due on Monday, there won't be another quiz posted until Intersession.

During Intersession, if you don't work any shifts the first half of Intersession, then you don't have to do Quiz 10 (posted Dec. 17 and due Jan. 2). If you don't work the second half, then you don't have to do Quiz 11 (posted Jan. 2 and due Jan. 14).

We have a "new" projector! It is kept in a suitcase next to the telescope. The binoculars and telescope accessories have been moved to the power bank shelf.

We also have a Lavalier (Lapel) microphone. It can be used with a smartphone, camcorders, iPads, and computers. It connects to camcorders and computers with an adapter. It's kept in the camcorder accessory drawer.

We have a couple of new adapters too. A USB-C that can connect to audio with an audio cable stored with the other USB-C adapters.  We also have a Lightning to Digital AV adapter (mainly for the "new" projector) stored with the other Lightning adapters.

Added a Finals Week Procedures tab to the Circulation Duties box, which contains information about how the 24/7 period affects opening and closing procedures, as well as instructions for checking IDs after midnight and before 7:30am.

We now have 7 new Dell XPS laptops! ALL 7 have a USB-C to USB-A adapter that they check out with, because the laptops do not have a USB-A slot. Please make sure that the adapters are returned with the laptop. A pop-up notification will appear when you check it out or check it in. The Macbook Airs, the old Macbook Pros, and most of the older Dell XPSs are in the cabinet to the left. A few of the older Dell XPSs, the "new" Macbook Pros, and the new Dell XPSs are on the cabinet to the right.

Workforce update: I just sent an e-mail out to all of you about instructions for what you need to do to get familiar with Workforce before it goes live. Here they are again for reference:

You do NOT need to to sign up for in-person training with HR via the link in the "New Time System" e-mail. Instead, Doni or I will do 1-on-1 training with you, but we can't do some of that until Workforce goes live on Nov. 24, so in the meantime, **please do the following by Nov. 24 to prepare**:

1.  Do the instructions on Courtney's Workforce handout ("Workforce Time System Training" tab of Training box), then sign the physical copy of the handout that's at the West Desk.

  • For the videos, talk to your supervisor to arrange a time to watch them at the Discharge Desk when the front desk isn't too busy. Doni, Kelly, or I can watch the front desk if necessary.

2.  Read the WTA Manual (also in "Workforce Time System Training" tab of Training boxand ask Doni or I about anything you're not sure about.

  • Skip the entire WebClock section, because we'll still be using When I Work for clocking in/out
  • The Generating Reports section is optional, but be sure to look at the Conversion Chart at the very end.

I will be working on a list of differences between the new system and the current system that we can use as a reminder checklist for the first few pay periods. It sounds like Courtney is also working on additional handouts which may be helpful, but those won’t be complete until next week.

On November 24 (the Saturday immediately after Thanksgiving), all employees of University Libraries, including you guys, will begin using a new online timesheet system called Workforce. I am sorry for the late notice, but full time employees like Doni, Kelly, and I did not get training for how to use Workforce until today, so we did not have a lot of concrete information for you until now. Within the next week we will be talking to other full time supervisors within UL about creating standardized training for all of our student employees.

This morning you probably received an e-mail from Payroll entitled "New Time System" with instructions for signing up for Workforce training. I am currently in the process of finding out if the training we develop in-house will be sufficient. I hope to have an answer by tomorrow. I've changed the the adapters (besides the audio adapters), the HDMI cables, the VGA cable, and the power strips to a Daily checkout. This way they can be checked out with the projector and other presentation equipment and have the same return time. Please let me know if you have any questions.

We have replaced four Macbook Airs with four "new" Macbook Pros! Now the Dell Netbooks, the Macbook airs, and the older Pros are in cabinet on the left. The Dell XPSs and the new Macbook Pros are in the cabinet on the right. Note: Please bring L102 to me if it gets returned.

As of today, Refresher Quiz performance is now going to be a more important factor when we evaluate overall work performance. The main difference from before is that there are now actually downsides to consistently poor quiz performance with no sustained improvement, to disincentivize guessing or picking random answers, because neither of those are helpful for the original purpose of the quizzes (training and review).

For all quizzes you submit after today, a consistent average score of < 70% or 3 late submissions per semester can result in potential disciplinary action if you do not show sustained improvement after I contact you about it. More information can be found on the Refresher Quiz welcome page on Canvas.

(By the way, if you're curious, the overwhelming majority of you are already doing very well by the above standards. This change is mainly to correct for the fact that the original policy was more lenient than necessary to accommodate LETs and Peers, who didn't end up taking the quizzes after all.)

There is a break room located in room 151 on the main floor (far east wall) that is now available for your use.  It has a full size refrigerator, microwave, keurig (without cups or pods), and seating space.  The key is in the wooden box kept at the discharge station.

This is a reminder that Billing needs to check all cameras, camcorders, and the phone lens kit BEFORE they’re returned. If Michael or I are not here then please have Doni or Jennifer check them.  If they’re not here then the student supervisors can check them.

Also please roll all cords, especially the headphone cords, before you put them in the drawer so they do not become tangled. Attached is a picture of properly rolled cords. Please contact me if you need a cord rolling lesson.

I’ve added a Phone Lens Kit to the Reserves. It clips over your phone’s camera and has different lens for different effects. It has a one day checkout, and it is stored in the new cabinet with among all of the camera accessories. Staff or student supervisors when staff is not available will need to check it before it is allowed to be checked back in, like all other cameras. Please let me know if you have any questions.

The telescope will be available for checkout after Wednesday. It is stored in the kindle cabinet next to the binoculars. ONLY STUDENT SUPERVISORS AND FULL TIME STAFF MAY CHECK IT OUT AND CHECK IT BACK IN TO PATRONS. If a student supervisor or a full time staff member is NOT available the patron will have to come back.  I’ve added a Telescope tab under the Technology Lending tab of the libguide and the laminated guide is next to the telescope. In Circulation Quick Access Links box, added link to new "OU Libraries Overdue Item Policies" page that Kelly created for the UL Website. It can also be accessed from the Circulation Desk page on the website. (There are also several revisions to text on the Circulation Desk page, but nothing major.)

The new Overdue Item Policies page has some information that's not on the laminated Fines & Fees Chart, so please be familiar with the differences. Also, since the page is on the website, that means it is publicly available to patrons and can be used accordingly when answering questions.

Student Supervisors: It is now possible to interact with and save the SLA Training Checklist entirely via iPad, so in all future training, please only use the copy of the training checklist that is saved to one of the West Desk iPads.

I've updated the instructions on the Training box to explain how it works. Please take a moment to read through them, because Adobe Acrobat works very differently on iPads compared to how it works on Windows (especially when saving documents).

Updated "Policies Not Openly Advertised" PDF in Training box to add:

  • Apple Wallet to section for allowed digital ID apps
  • Section explaining that patrons can buy a copy of a Lost item and donate it to the library to have the replacement fee waived
    • (Note: Not allowed for items like Textbooks with non-refundable replacement fee)

Also added sections for "Blocks," "Overrides," and "Loan Limit Exceeded" pop-ups to Circulation Troubleshooting tab, and updated Student Supervisor Training documents accordingly.

As most of you know, Sooner Card can now be added to an iPhone and Apple Watch.  We will accept this at the circulation desk as a valid form of ID.

As a reminder, before checking any ILL items out to a patron, always do these steps:

  • Double-check the label on every item to ensure that the correct name is on it.
  • Ask the patron to look at each item itself (not just the label), to confirm that it matches what they requested.

This extra precaution is critical for ILL books because, unlike Alma, ILLiad does not warn you when you try to check a Hold Shelf item out to the wrong person. When that happens, there is no record of who we accidentally gave it to, so it's very hard to track those items down after the fact. It is important that we go out of our way to double-check everything while problems are still easy to resolve.

Made several updates to the Bizzell Library Circulation Policies PDF in the Circulation Training box. Although none of the changes are brand new, please take a minute to review the document just in case, especially if you haven't read it since you first trained in Circulation.

Also updated both versions of the SLA Training Checklist. Changes mostly minor and shouldn't require explanation. When training, do be aware, though, that there will now be a website for all exhibits at exhibits.libraries.ou.edu instead of separate websites for each.

We now have a tv remote available for checkout. I know that it works on the tvs on Lower Level 2, the 2nd floor, and the 3rd floor. It checkouts for a day and is kept in the new cabinet in the same compartment as the dinofire and the voice recorders. Please let me know if you have any questions.

Created interactive PDF version of SLA Training Checklist, and rearranged Training documents on LibGuide so they appear in the same order that they do on the checklist. Added instructions to SLA training tab of the Circulation Training box for how to use and view documents digitally during training.

We now have a a pair of Nikon Binoculars, a Red LED Flashlight, and a plainsphere star chart available checkout.  They all have a 3 day checkout and can be booked. I have stored them in the brown cabinet where the iPads and headphones are. Everything has been moved up one shelf with the binoculars and the accessories on the bottom shelf.

  • If you need to leave an ILL / Sooner Xpress item for one of their employees but they're not available, please put a note on it and leave it on the tall table behind Molly's office.
  • The microwave in ILL is only for ILL employees. If you need to use a microwave, please use the one in the Bookmark. (You are still allowed to use the refrigerator near Angela's desk, though.)

Some of the Dells are not automatically connecting to Wifi@OU anymore. LTP is working on this problem. In the meantime the patron has to click on the wifi icon in the bottom right corner of the login screen. From there they are prompted to connect to WIFI. They can then log into the computer with their 4x4.

Good afternoon!

 Stacks Management has started shifting books from Deck 4 to Deck 5. Our goal is to condense the contents of the Decks enough to leave Deck 1 empty. The shift will take quite awhile, so I don’t plan to update all the signage immediately. Right now, only the contents of Decks 4 & 5 have changed. As we finish each deck I will update the website and then work with Chelsea Julian to update all the signage when the full shift is finished. The endcap signs for each range will be updated as we go. If patrons have trouble finding anything, Angela or I should be able to help.

Sept. 10 (Quiz 4) will not be due until Sept. 24, and Quiz 5 will not be posted until Sept. 24. Note: this change does not affect due dates for the UL PSST Canvas course.
